Studio Venue Hire Terms & Conditions
These Terms & Conditions apply to all studio hire bookings at Self-Retreat Studio, 49 Kentish Town Road, London NW1 8NX.
1. Booking basis
1.1 A booking is valid only for the date, time, duration, booking type, room, guest count, and event use declared at checkout or otherwise agreed in writing.
1.2 The hirer is responsible for ensuring that all booking details are accurate, including event type, number of guests, and anything served, used, or brought into the studio.
1.3 Self-Retreat may refuse, amend, or cancel a booking if the declared use is inaccurate, incomplete, or inconsistent with the actual use.
1.4 The hirer may not assign, transfer, resell, or sublet the booking, in whole or in part, without prior written approval from Self-Retreat.
2. Communication
2.1 WhatsApp is the only communication channel used for studio access, arrival instructions, induction materials, and booking updates.
2.2 A valid WhatsApp number and consent to be contacted via WhatsApp are required to book.
2.3 The hirer is responsible for reading all WhatsApp messages sent by Self-Retreat in relation to the booking.
3. Induction and access
3.1 The hirer is responsible for watching the video induction sent on WhatsApp before the booking starts.
3.2 Failure to watch the induction does not remove the hirer’s responsibility for complying with these Terms & Conditions or any operational instructions.
3.3 Access is provided only for the booked slot and only for persons reasonably requiring access for that booking.
3.4 Access codes, instructions, and entry information must not be shared outside the hirer’s team, facilitators, or contractors directly involved in the booking.
3.5 The studio is staff-free. The hirer is responsible for opening, using, resetting, and securing the premises in accordance with the induction and access instructions.
4. Booking times and overstays
4.1 Booking time runs from the moment access is permitted until the time the hirer and all guests must fully vacate the premises.
4.2 All bookings must include enough time for setup, reset, cleaning, pack-down, and guest arrival or socialising.
4.3 Overtime is chargeable. Self-Retreat may charge additional time in 30-minute increments or such other rate as applies to the booking type.
4.4 The hirer must ensure that all guests, facilitators, suppliers, and contractors leave by the booking end time.
5. Capacity and use of space
5.1 Maximum occupancy must not exceed the limit stated for the booking or otherwise agreed in writing.
5.2 The hirer is responsible for all guests, facilitators, staff, contractors, performers, DJs, caterers, and suppliers attending the booking.
5.3 The hirer must ensure that the studio is used only for lawful wellness-related purposes approved by Self-Retreat.
5.4 Private 1:1 bookings are for one practitioner and one client only. No group use is permitted.
6. Studio rules
6.1 The studio is staff-free. Everything must be left exactly as found.
6.2 Shoes must be removed immediately upon entering the premises. The shoes-off policy applies throughout the whole space, without exception.
6.3 No bikes are allowed inside.
6.4 No incense, candles, smudging, smoking, or any other fire-related activity is permitted anywhere on the premises.
6.5 No paint, massage oil, or any liquid or substance likely to stain carpeted areas is permitted on the mezzanine or any carpeted area. Such use is allowed only on the ground floor where properly contained and managed.
6.6 Alcohol is strictly prohibited. It must not be served, sold, or consumed anywhere on the premises.
6.7 Nudity is permitted only on the ground floor. Nudity is never permitted on the mezzanine or carpeted areas. The ground floor is covered by security cameras.
6.8 No posters, banners, tape, screws, tacks, nails, blu tack, adhesives, or fixtures may be attached to walls, floors, ceilings, doors, windows, fabrics, furniture, or equipment without prior written approval.
6.9 No exits may be blocked and no fire or safety equipment may be moved, obstructed, or tampered with.
6.10 The hirer must ensure that music, sound levels, guest behaviour, and arrival or departure activity do not create unreasonable disturbance to neighbouring premises or the surrounding area.
7. Equipment, facilities, and cleaning
7.1 The hirer has use only of the areas, props, equipment, and facilities included in the booking or listed by Self-Retreat.
7.2 Anything used must be cleaned and returned to its original place before the booking ends.
7.3 The hirer is responsible for cleaning any kitchen items, utensils, appliances, dishes, props, and surfaces used during the booking.
7.4 The hirer must remove all rubbish generated by the booking.
7.5 No food or drinks may be left on the premises after the booking, including inside the fridge.
7.6 The hirer must leave the studio, common areas used by their guests, and all access routes in a clean and orderly condition.
7.7 Extra cleaning fees may be charged where the studio is not left clean, reset, and ready for the next booking.
8. Food, drink, and higher-risk elements
8.1 Food and drink are permitted only where they do not create unreasonable mess, smell, staining risk, or damage risk, and only if permitted for that booking type.
8.2 The hirer is responsible for disclosing in advance any of the items/services/offers listed on the booking form that may require further instructions/induction.
8.3 Self-Retreat may impose additional conditions, deny permission, or require additional booking time where such elements are involved.
9. Pricing, deposits, and payment
9.1 Pricing is determined by the booking type, duration, timing, and any other applicable rate conditions stated at checkout or agreed in writing.
9.2 Where a deposit option is offered, the deposit is non-refundable unless expressly stated otherwise.
9.3 Any remaining balance is charged automatically in accordance with the booking terms shown at checkout or on the relevant booking page.
9.4 If the hirer books the wrong rate, understates the guest count, or materially misstates the booking type or use, Self-Retreat may charge the difference and any associated administrative costs.
9.5 Failure to pay any extra charges, overtime, cleaning fees, damage charges, call-out costs, or fines will result in the hirer being barred from hiring the studio again and may result in the hirer being denied access to any future slots already booked or paid for until all outstanding amounts are settled in full.
10. Cancellations and rescheduling
10.1 Cancellation and rescheduling periods are calculated from the start date and time of the booking.
10.2 The applicable cancellation and rescheduling rules are those stated at checkout and on the relevant booking page for that booking type.
10.3 If a booking includes a non-refundable deposit, that deposit is excluded from any refund or carry-over unless expressly stated otherwise.
10.4 The hirer is solely responsible for managing any cancellation or rescheduling within policy through their account on the Self-Retreat Studio website.
11. Damage, loss, liability, and insurance
11.1 The hirer is responsible for any loss, damage, breakage, staining, theft, contamination, extra cleaning, false alarm, sprinkler activation, call-out, lock issue, or other cost caused by the hirer, their guests, or anyone attending in connection with the booking.
11.2 The hirer is responsible for ensuring that all activities carried out at the studio are safe, lawful, properly supervised, and suitable for the participants attending.
11.3 The hirer is solely responsible for participant welfare, event content, and any injury, trauma, loss, or harm arising from the event or activity.
11.4 The hirer must hold valid public liability insurance covering the activity being carried out at the studio and must provide evidence of such insurance on request.
11.5 Self-Retreat is not responsible for any loss, theft, or damage to property brought onto the premises.
11.6 Self-Retreat is not liable for interruption, cancellation, or loss caused by events outside its reasonable control, including utility failure, equipment failure, water ingress, fire, government restriction, railway-related incident, or force majeure.
12. Legal compliance and promotion
12.1 The hirer is responsible for obtaining and complying with any licence, consent, permit, risk assessment, insurance, or legal requirement applicable to their event or activity.
12.2 The hirer must not describe, market, or promote the event in any misleading way, including implying endorsement, partnership, or organisational involvement by Self-Retreat unless expressly agreed in writing.
13. Security, monitoring, and incident reporting
13.1 Security cameras are in operation in relevant areas of the premises.
13.2 Camera footage may be used for safety, security, access verification, guest count verification, overstay verification, and investigation of breaches of these Terms & Conditions.
13.3 The hirer is responsible for informing guests where appropriate that relevant areas may be monitored.
13.4 The hirer must report any accident, injury, breakage, damage, spill, safety issue, or security issue to Self-Retreat as soon as reasonably possible.
14. Right to refuse or end a booking
14.1 Self-Retreat may refuse access, end a booking, or require the immediate cessation of an event where:
- these terms are breached
- safety is compromised
- the actual use differs from the declared use
- the hirer or guests are causing damage, unreasonable disruption, or risk the hirer fails to follow the induction or access instructions
14.2 In such cases, no refund is due unless required by law.
15. Lost property and items left behind
15.1 Any property brought into the studio must be removed before the booking ends.
15.2 Self-Retreat may remove, store, or dispose of items left behind. Retrieval, storage, courier, or disposal costs may be charged to the hirer.
16. Data and contact
16.1 Booking information is used only for studio operations, access, and related communication.
16.2 By booking, the hirer agrees to receive operational communications via WhatsApp in accordance with the consent given at checkout.
